Guidelines for preparing a great trip announcement and trip report

Document Format

Provide your trip announcement and trip report in an editable format such as Microsoft Word or Google Docs. PDFs are great for the final product, but they are difficult for our newsletter, email, and web teams to work with.

Image Format

Most trip leaders like to embed images in their document at the appropriate places in the narrative. This is great, as it provides the newsletter, email, and web teams with guidance when we lay out the various formats. You may photos to fit appropriately within the text. This is also great.

However, it is also important to provide the highest resolution you can get of all images that you use in your trip announcement and trip report.

If you have higher resolution versions of the images you used in your trip description, please share them with us. The high-resolution images are the perfect complement to a well-written description on our website, making the trips even more appealing.

When we use images that aren't high-resolution, especially when they get enlarged on the website, they can sometimes look a little grainy or pixelated. It's a bit like trying to blow up a small photo – it can lose its sharpness. Images that look fine in a PDF version of your document may not actually be very high resolution, because the PDF format handles them differently from the web. 

How to determine the quality of images for my trip description:

  • A quick way to assess image quality is to open it and zoom in. If the image remains sharp and detailed when enlarged, it's likely of good quality. If it becomes blurry or pixelated, the detail is insufficient.

  • Images with file sizes under 100 KB often undergo significant compression, which can lead to a noticeable decrease in detail and clarity, especially when enlarged. Ideally, it's best to avoid such small files. However, practical limitations sometimes dictate otherwise. For instance, the sailboat layout images, due to limited availability, may necessitate accepting smaller file sizes.

  • Don't worry about the file being too large. When we set up your trip announcement or report on our website multiple versions of the image at different sizes are created, ensuring optimal display across various devices like desktops, tablets, and phones.
